Development Associate
Reports to the Director of Development and Communications. Supervises Membership Volunteer.

Position Type: Part-time (20-25 hours/week), nonexempt. Weekend and evening work, as required.
Pay: $20-$25/hour, based on experience

Summary: The Development Associate is responsible for implementing and managing Art Center membership, rentals, the biannual mailing of the Annual Appeal, the implementation of all aspects of the special events initiated by the Development Department and interactions with the diverse constituencies involved in those responsibilities. The position also manages related Development databases including Bloomerang.

Essential Functions
Membership
• Develops and executes membership initiatives as appropriate such as membership month
• Drafts membership correspondence for Director of Development approval and manage all membership correspondence
• Maintains and update membership databases (Bloomerang and Lumens) and check their accuracy
• Manages all monetary tasks regarding membership fulfillment
• Supervises membership volunteer who mails membership cards, pulls membership lists, mails renewal letters, and tracks data for membership analysis
• Provides customer service to members for help with membership registration, fulfillment, complaints, questions, refunds, upgrades, and ordering special gifts for high level members.
• Tracks and orders membership supplies, as needed

Annual Appeal
• Builds the mailing list
• Project manages all aspects of the Annual Appeal production: letter, donation form, envelope and return envelope
• Coordinates two mailings annually with mail house and printer
• Project manages and mails personalized, in-house portion of Annual Appeal letter for top donors

Donations
• Assists Director of Development in creating fundraising campaigns via Bloomerang
• Provides organizational support for campaigns and maintain budget spreadsheets
• Oversees and implements gift processing, tracking, and gift acknowledgments
• Updates Donor Wall annually

Special Events
• Manages and oversees all special events initiated by the Development Department under the supervision of the Director of Development
• Manages and oversees all rentals
• Assists with special events related to museum activities, such as exhibition openings
• Works with Director of Development and Assistant Director of Communications in the creation of all printed materials for special events including postcards, invitations, and programs
• Tracks all income and expenses for event by creating and maintaining event budget spreadsheets
• Solicits and tracks sponsorships and acknowledges pledges in writing as they are made
• Manages all special event mailings
• Works with Director of Development to organize staff and volunteer positions at special events
• Acts as point person for special events run of show, as appropriate
• For events with silent or live auction element, tracks all art, manages relationships with artists, and manages relevant silent auction software and/or needs of auctioneer
• Tracks all attendees at events
• Assists Director of Development with all logistical components of events

Donor Database
• Updates and maintains all donor records, gifts, and interactions.
• Creates reports as requested by Director of Development
• Records all donations and pledge checks
• Creates and updates form letters and emails
• Creates analysis as needed

Administrative Support
• Finance
o Handles Purchase Orders for Development
o Reconciles Director of Development’s credit card statement each month
o Coordinates with the Finance Department to reconcile donations monthly ensuring each donation is in the proper GL code. Prepares monthly Bloomerang, Stripe, and PayPal reports.
o Works with Finance Department on audits to provide information on donors and donations as needed
o Assists Director of Development to determine yearly budgets and financial goals
o Manages Department budget by tracking expenses by category
• General administrative support includes:
o Assists Director of Development with correspondence for donors, board, and consultants
o Assists Director of Development in scheduling and meeting logistics
o Tracks and orders Development-specific supplies as needed
o Writes Development portion of Board Report, and formats full Development and Communications section of board report
o Sends monthly postcards to new homeowners.
o Sends various correspondences when opportunities arise such as Valentine’s Day cards, lapsed donors’ greetings, and special invitation cards for exhibition openings

Qualifications
A Bachelor level degree and three years of nonprofit development experience is desired. Demonstration of excellent spoken and written communication skills is required. Strong project management experience is required.

Physical and Mental Demands
The position frequently requires mental demands of reading/writing, planning/organizing, and problem solving. The position requires the mental demands of supervising a part-time volunteer. This position requires frequent use of computer and telephone.

Work Environment
The position is frequently indoors in an office environment. The position allows flexibility for 25% of time working from home.
